Workflow automation
Workflow automation is the use of software to carry out the steps of a business process, such as moving data between systems, routing approvals, sending notifications, and updating records, without a person doing each step by hand. Traditional automation follows fixed rules; AI workflow automation adds models that read documents, classify requests, and handle variation.
01why it matters for a business
In most mid-sized companies, a surprising share of skilled people's time goes to moving information between systems: rekeying orders, chasing approvals, copying data from emails into spreadsheets. Automating that work is usually the fastest, least risky return on technology spending, because the process already exists and the savings are easy to measure in hours and error rates.
AI widens what can be automated. Rule-based tools break when inputs vary, such as suppliers sending invoices in different layouts or customers describing problems in their own words. Adding a model to read, extract, and classify lets automation reach processes that needed a person only because the inputs were messy. The discipline stays the same: a clear process, a measured baseline, logging, and an owner.
02what it looks like in practice
A home services company books jobs by phone, through its website, and from a lead marketplace. Today a coordinator copies each lead into the CRM, checks the service area, and texts the customer. An automated workflow takes leads from all three sources, normalizes them, uses a model to classify job type and urgency from the free-text description, checks the address against service zones, creates the CRM record, and sends a confirmation. Leads outside the zone or with unclear needs go to the coordinator with everything pre-filled.
03common mistakes
- Automating a broken process. Fix the steps first, then automate; otherwise you just produce errors faster.
- No baseline. Measure time per case and error rate before you start, or you cannot prove the return.
- Brittle point-to-point connections nobody owns. Every automation needs monitoring and a named owner.
- Using AI where a rule would do. If a step is deterministic, a rule is cheaper and more reliable than a model.
