System prompt
A system prompt is the standing set of instructions an application gives a language model before any user input, defining its role, rules, tone, available tools, and limits. Users usually never see it. It shapes every response in a product, which makes it one of the most important parts of an AI feature to write, version, and test.
01why it matters for a business
When a company deploys an AI assistant or agent, the system prompt is where business policy turns into model behavior: what it may discuss, what it must refuse, how it handles missing information, when it escalates to a person, and what voice it uses. A vague system prompt produces inconsistent behavior across thousands of conversations, and each inconsistency is a customer or compliance exposure.
Two cautions. A system prompt is guidance, not a security control; determined users and prompt injection attacks can sometimes get a model to ignore it, so anything that truly must not happen needs enforcement in code or permissions. And because it is sent with every request, its length affects cost, which is why prompt caching, where providers offer it, makes long and stable system prompts cheaper.

An HR assistant for a company with offices in several states has a system prompt that sets its role (answer employee questions about policies and benefits), its sources (only the retrieved handbook sections), its limits (no legal advice, no opinions on individual cases, never discuss another employee), its escalation rule (leave disputes, harassment, and termination questions go to HR as a ticket), and its format (short answers with a link to the policy). Every change is reviewed by HR and tested against a fixed set of questions before release.

- Relying on the system prompt to keep secrets or block dangerous actions. Enforce those in code and permissions.
- Editing it directly in production without version control or tests.
- Contradictory rules accumulated over time. Review and simplify it periodically.
- Putting frequently changing facts in it instead of retrieving them.
